Position Summary:
We are seeking a highly organized and proactive Operations Manager to support and streamline daily operations. This role will work directly with the financial advisor(s) and our internal teams to ensure smooth workflows, efficient client onboarding, compliance oversight, and high-quality client service delivery. Office hours are Monday-Friday 10 am to 5 pm.
Key Responsibilities:
- Oversee day-to-day office operations, ensuring processes run efficiently and align with company standards.
- Support the financial advisor with scheduling, client communications, and meeting preparation.
- Manage and improve client onboarding and account servicing processes.
- Coordinate with custodians, broker-dealers, and third-party providers as needed.
- Maintain accurate and organized client records, ensuring compliance with regulatory requirements.
- Assist with compliance tasks, audits, and documentation.
- Implement and optimize internal workflows and standard operating procedures.
- Train and support administrative staff as the team grows.
- Help manage special projects, reporting, and tracking key operational metrics.
- Provide general administrative support and problem-solving to ensure the advisor can focus on client-facing work.
Qualifications:
- Proven experience in operations, office management, or administrative management—preferably within financial services, wealth management, or professional consulting.
- Strong understanding of client confidentiality and regulatory compliance requirements in a financial services setting.
- Excellent organizational and multitasking skills.
- Proactive, detail-oriented, and able to identify and solve problems independently.
- Strong communication and interpersonal skills; professional demeanor with clients.
- Proficiency with MS Office, CRM systems (experience with Salesforce is a plus).
