Transportation Secretary

Job Title:  Transportation Secretary

Summary:  The Transportation Secretary provides administrative and clerical support to the transportation department, ensuring the smooth operation of daily transportation functions. This position assists with scheduling, communication, recordkeeping, data entry, and coordination with drivers, staff, parents, and other departments.

Salary:  Classified Salary Schedule -  Building Secretary, dependent upon experience.  $19.28- $29.89/hourly

Education and/or Experience: 

  • ?High school diploma or equivalent; Associate’s degree preferred.
  • 2+ years of clerical or administrative experience; experience in transportation or school environment preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and relevant database software.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with strong recordkeeping and data entry skills.


Essential Duties and Responsibilities: 

  • Provide administrative support to the Director of Transportation and department staff.
  • Answer phones and respond to inquiries from parents, drivers, school staff, and the public.
  • Maintain transportation records, including bus routes, schedules, maintenance logs, and employee files.
  • Assist in preparing reports, forms, and communications related to transportation operations.
  • Maintain accurate data in routing and tracking systems.
  • Coordinate with drivers and dispatch personnel regarding schedules, field trips, and route changes.
  • Track driver certifications, licensing, and training compliance.
  • Order and maintain inventory of office and departmental supplies.
  • Assist with payroll or timesheet processing for transportation staff.
  • Prepare and distribute memos, newsletters, and other departmental communications.
  • Maintain confidentiality of student and personnel information at all times.
