Administrative Assistant
Overview
We’re looking for a proactive, detail-oriented Administrative Assistant to join our collaborative team in our centrally located Charlottesville office. This role is ideal for someone who thrives in a dynamic environment, excels at organization and communication, and enjoys blending administrative support with creative marketing efforts. You’ll play a key role in ensuring the efficiency of daily operations while also contributing to the growth and visibility of our veteran-focused legal services through marketing and outreach initiatives.
Key Responsibilities
Administrative Support
- Manage the attorney’s calendar, email, and professional communications
- Schedule and coordinate internal meetings, client calls, and informal conferences
- Maintain and update legal case management systems (CMP) and client records
- Create, edit, and organize internal templates and maintain a master template index
- Assist with billing, accounting, and vendor invoicing coordination
- Provide administrative support for bar memberships, CLE tracking, and software troubleshooting
- Ensure operational consistency and coverage during staff absences or transitions
Marketing & Outreach
- Design and distribute digital and print marketing materials (e.g., flyers, brochures, newsletters)
- Update and maintain website content, bios, and event announcements using a content management system (CMS)
- Support social media presence and email campaigns in collaboration with team leadership
- Coordinate logistics for team participation in local and national conferences
- Represent the team at conferences and networking events when needed
- Assist in branding and communications strategies to promote our mission and services
Qualifications
- Bachelor’s degree or equivalent combination of education and experience
- 3–5 years of experience in administrative support; legal or professional services setting preferred
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Comfort with design tools (e.g., Canva, Adobe, or similar) and website CMS platforms
- Tech-savvy, with proficiency in Microsoft Office Suite and a willingness to learn new software
- Ability to handle confidential information with discretion and professionalism
- Adaptable, resourceful, and team-oriented
Bonus Skills (Preferred but Not Required)
- Experience with legal case management software (e.g., CMP)
- Familiarity with marketing tools like Mailchimp, WordPress, or social media scheduling platforms
- Prior involvement with conference planning or community outreach

Pay: $42,000.00 - $45,000.00 per year
