Junior Office Administrator

TRG Management LP in New York, NY is seeking a Junior Office Administrator to support the NY team with administrative and clerical work to ensure efficient operation of the office. The role will work closely with Head of Administration and Office Management on a day-to-day basis and will support the management team administratively through a variety of tasks related to organization and communication.

Key Responsibilities

Include the following, but are not limited to:

• “Front Desk” duties: Coverage for the main line and calendar management for conference rooms.

• Greet / seat guests and help with beverages as requested.

• Responsible for managing and supervising the firm's mail distribution function and screening telephone calls and visitors.

• Manage the kitchen keeping it neat and clean throughout the day; purchase kitchen supplies, snacks, coffee etc.

• Manage relationships and liaise with outside consultants and vendors, including property management organizations, cleaning, catering, and security services.

• Purchase office supplies.

• Responsible for general services, repairs, and intra-office moves.

• AND

• Support upper-level management with various projects/requests i.e. office moves, and events.

• Schedule appointments and coordinate meetings as requested

• Monitor and assist with business travel arrangements as requested.

• Prepare and process expenses and expense reports for partners/managers as requested.

• Design and implement filing systems, manage retention and retrieval system. Ensures filing systems are maintained and current.

• Maintain and update authorized signatory lists.

• Compliance support, gathering signatures for compliance team and sending mails worldwide to support global offices.

• Coordinate with the TRG IT department on all office equipment. Report problems and assist vendors/tech support.

• Coordinate with the TRG HR department on new hires/terminations and company policy updates.

• Assist with conference schedules and attendance.

• Project assistance as needed through the Firm

• Maintain office services by organizing office operations and procedures, and address employee queries regarding office management issues. Manages office arrangement and maintenance of equipment common to the office.
