Position Summary
The Reception and Operations Supervisor serves as the first point of contact for the Basking Ridge campus, ensuring a welcoming, safe, and efficient environment for all students, employees, and visitors. This role is equal parts ambassador, operations liaison, and administrative backbone, suited for someone who thrives on people-facing work, attention to detail, and proactive problem-solving.

We are seeking a highly organized, composed, and customer-service-oriented professional who can balance front-of-house responsibilities with behind-the-scenes operational coordination. The ideal candidate brings strong communication skills, sound judgment, and a collaborative mindset.

Responsibilities

  • Supervise and support additional front desk personnel at the Basking Ridge campus, coordinating schedules and ensuring consistent coverage, professional presence, and alignment with campus protocols.
  • Serve as the campus's front-facing representative, greeting all visitors, managing calls, and maintaining a welcoming and professional atmosphere.
  • Using Pingry’s visitor management software and other school systems, screen and check in all visitors to ensure consistent access control.
  • Support emergency response efforts and communicate clearly during drills or critical incidents.
  • Monitor building access and security systems; liaise with campus safety and operations staff as needed.
  • Sort and distribute incoming mail and prepare outgoing shipments; manage package deliveries.
  • Maintain up-to-date postings and information on campus events, calendars, and athletic schedules.
  • Coordinate support for campus events and external vendors using shared systems and protocols.
  • Maintain documentation for state transportation reimbursement (B6T/B8T forms).
  • Manage and track driver certifications, annual MVR checks, and vehicle use approvals.
  • Maintain the school’s Certificate of Insurance (COI) database and support risk-related documentation.
  • Provide administrative support to the Director and Assistant Director of Operations and assist with campus-wide communications and schedules.

Qualifications

  • A high school diploma or equivalent is required; a college degree is preferred.
  • Prior experience in a school or similar front-facing environment is strongly preferred, especially in roles requiring high visibility and multitasking.
  • Customer service orientation with a calm, professional, and welcoming demeanor.
  • Demonstrated discretion and sound judgment when handling confidential or sensitive information.
  • Ability to prioritize and manage multiple time-sensitive tasks independently in a fast-paced environment.
  • Strong attention to detail in record-keeping, documentation, and communication.
  • Comfort working with security and visitor management technology; ability to respond calmly and appropriately in emergency situations.
  • A basic understanding of facilities or logistics coordination (e.g., working with vendors, tracking forms, or managing shared resources) is a plus.
  • Excellent organization and interpersonal skills, both oral and written.
  • Ability to foster collaborative and productive working relationships with a diverse range of internal and external stakeholders.
  • Proactive problem-solving skills with the ability to anticipate and resolve operational issues as they arise.
  • Proficiency with Google Workspace tools (Gmail, Calendar, Docs, Sheets, etc.).
  • Knowledge of First Aid, CPR, and AED operation is helpful, but not required; certification will be provided if needed.

The salary range for this position is $55,000-$65,000. Final compensation will be determined based on experience and education.
