Entry-Level Administrative Assistant

CMG Home Loans is hiring an entry-level Administrative Assistant with no experience required to work for our Rumford, RI Branch. The Assistant will provide support to the Loan Officer by ensuring timely closing of loan files via communication with operations staff and customers. Must be comfortable speaking with customers on a daily basis.

 


Essential Duties and Responsibilities:

 

Client Intake and Scheduling

  • Handle initial intake with incoming referrals with the goal of booking viable borrowers on the Loan Officer’s (LO) calendar for consultations.
  • Confirm all appointments in the LO’s calendar one day prior.

Communication Management

  • Answer incoming phone calls and monitor the team voicemail line.
  • Regularly update referring agents on the status of their referrals.

Lead and Client Management

  • Add new leads to the lead tracker, CRM, and Loan Origination System (LOS).
  • Chase necessary documents and information for client pre-approval.
  • Send Pre-Approval Letters to agents based on the LO’s pre-approval assessment.
  • Create credit improvement plans for clients who need to increase their scores.
  • Work with clients on specific steps they need to take to achieve pre-approval, regardless of their timeline.

Administrative Support

  • Set up payment requests from clients on behalf of the LO.
  • Update the LO’s calendar with closing dates as they are scheduled.
  • Prep client folders for consultations and manage collateral, reprinting items as needed.

Client Relationship Management

  • Conduct regular check-in calls to maintain client relationships until they go under contract.

Marketing and Outreach

  • Make outbound marketing calls to generate new leads.
  • Assist with marketing projects and team events.

Client and Team Support

  • Attend occasional closings to support clients and partners.
  • Provide additional assistance with team-related events and activities as needed.
  • Assemble closing gifts and reorder supplies as needed for them.

 

 

Qualifications and Experience:

  • Excellent communication and customer service skills
  • Proficient in Microsoft Office, Word, Excel, Outlook, etc.
  • Ability to work in a fast-paced fluid environment.
  • High level of integrity and confidentiality required

PHYSICAL and ENVIRONMENTAL CONDITIONS

This role operates in an ADA compliant office environment, utilizing typical office equipment and tasks including computer work. The position may involve partial stationary positions and moving throughout the day. Flexibility to work overtime to meet project deadlines is required.

 

 

Base Compensation Information – CMG pays a base which ranges from $19.50 to $23.00 per hour
