Personal Assistant

We are seeking a highly organized, proactive, and flexible Personal Assistant to support one traveling artist based in Nashville, TN. The client, who is a member of a successful music group, needs a dependable PA who can manage their day-to-day life, both at home and on the road. The ideal candidate will be able to seamlessly juggle multiple tasks, anticipate needs, and ensure everything runs smoothly in their absence.

This position offers a blend of office-based work and in-home duties. While there will be travel between the client's home, some work can be done from a central location. You’ll be a key player in maintaining the household during times the client is home and while touring, keeping things organized and operational.

The Personal Assistant must be highly organized, a skilled multitasker, and have the ability to handle diverse tasks with grace and discretion. You will be the "go-to" person for everything from scheduling appointments to coordinating last-minute travel plans, as well as keeping the homes stocked, clean, and running efficiently.

Key Responsibilities:

• Property Management: Oversee the upkeep of the clients' homes while they are home and on tour. Vendor and Contractor coordination.

• Errands & Household Needs: Grocery shopping, restocking supplies, managing household vendors, handling dry cleaning, running errands, and more.

• Scheduling & Calendar Management: Coordinate appointments, meetings, and events. Keep client's schedule aligned and up-to-date.

• Travel Coordination: Book flights, accommodations, and transportation for both domestic and international travel

• Event Support: Assist with planning and executing events, parties, and occasional weekend activities as requested.

• Package & Vendor Management: Handle deliveries, manage returns, and schedule vendor visits (e.g., repairs, maintenance, etc.).

• Miscellaneous Tasks: Addressing day-to-day needs and tasks as they arise, ensuring clients’ personal and professional lives run smoothly.

 

Desired Qualities & Experience:

• Experience: Minimum of 3 years as a personal assistant, executive assistant, or in a similar role, preferably with experience with property management and supporting high-profile clients or creative professionals.

• Organizational Skills: Excellent at managing multiple tasks and priorities, with a keen attention to detail.

• Proactive & Flexible: Ability to anticipate needs and respond quickly to changes in schedules or priorities.

• Communication Skills: Strong verbal and written communication skills, with an ability to interact professionally and courteously with a variety of people.

• Tech-Savvy: Proficient in managing calendars, emails, Dropbox and booking systems; comfortable using technology to facilitate tasks and communication.

• Confidentiality: Must be willing to sign a non-disclosure agreement (NDA) and handle sensitive information with discretion.

Schedule & Compensation:

• Hours: Monday to Friday, 9 AM to 6 PM (with one-hour lunch break). Flexibility is required, as some weekend or evening work may be requested, particularly when the clients are hosting events or traveling.

• Compensation: $40,000 yearly

• Benefits: Home Office stipend, two weeks of paid time off (PTO), and four sick days annually.
