Executive Assistant - Division of Water Resources

Position Summary & Responsibilities:

This position will remain posted until filled. 

Location: KDA Headquarters, Manhattan, KS

The employee in this position primarily provides support to the chief engineer, (Division of Water Resources) DWR program managers, and to other staff on certain tasks.

  • Schedules internal and external appointments and meetings for the chief engineer and program managers as appropriate and takes accurate and detailed meeting notes.
     
  • Monitors chief engineer email account under the supervision of the project manager.
     
  • Makes in-state and out-of-state travel, airline, and hotel accommodations and enters travel expenses and purchase requisitions upon request.
     
  • Develops and maintains a detailed understanding of DWR programs and personnel and coordinates with all administrative staff at HQ and in the field offices to ensure consistency of work.
     
  • Performs various secretarial work including answering the main DWR phone line and directing calls, the timely printing and mailing of letters and scanning these into the system.
     
  • Notarization of official documents and assisting the chief engineer and program managers with managing their filing systems and ensuring documents have been recorded appropriately.  
     
  • Assists in planning DWR events such as the Leadership and DWR Retreat.

Qualifications:

  • At least three years of experience in general office, clerical, and administrative support work preferred. Education may be substituted for experience as determined by the agency. 
  • Ability to work cooperatively with others, develop, and maintain positive working relationships, but also work independently as necessary.
  • Must be a self-starter and work well in a team setting.
  • Good written and verbal communications skills required
  • Employee is required have a valid Class C (or higher) Kansas driver’s license or equivalent license from another state. Employee is responsible to maintain an acceptable driving record to safely drive state vehicle and be willing and able to fulfill all job-related travel normally associated with this position.
