We are at an exciting stage of growth and are looking for a highly motivated Client Services Associate or Manager to join our team and play a role in our mission.
Position Overview
The individual in this role will collaborate closely with the entire team to support a variety of essential functions, including daily operations, process improvement initiatives, client paperwork preparation and follow-through, daily notes of key firm activities, and managing quarter-end billing and reporting. We’re seeking someone who finds fulfillment in ensuring the firm’s administrative and operational processes run smoothly and proactively contributes to our overall efficiency. Depending on experience, this position may be hired at either the associate or manager level. Key Responsibilities
Client Servicing
- Serve as a point of contact for client servicing needs
- Prepare and manage client paperwork and workflows (e.g., account applications and custodial paperwork/workflows, money transfers)
- Proactively improve and implement processes to recognize key client milestones (birthdays, anniversaries, etc.)
- Work alongside other team members to deliver exceptional client experience
Operations & Administration
- Maintain and update client information using Orion/Eclipse and other systems
- Assist with quarter-end reporting, billing, and documentation
- Participate on the Operations Committee to refine firm processes and workflows
- Support firm compliance activities and documentation
- Perform general administrative duties as needed (e.g., phones, newsletters, invoicing)
- Assume ownership on other assigned projects as needed

What We’re Looking For
- Bachelor’s degree preferred
- Excellent interpersonal communication, presentation, and financial skills
- Ability to work both collaboratively and independently
- Integrity and discretion in handling confidential client information
- Proficiency with Microsoft Office 365 and ability to quickly learn firm systems
- Excellent attention to detail and strong organizational skills
- Positive, proactive, and eager to grow within a fast-paced environment
- Prior experience with portfolio management software (e.g., Orion), custodians such as Schwab, and a working knowledge of financial planning or investment management is a plus
- Availability to work within firm business hours: 8:00am-5:00pm Monday – Friday (flexible within that range)
