Description
The Administrative Assistant provides vital support to senior leadership and departmental teams. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a dynamic environment. You’ll help ensure operations run efficiently, projects stay on track, and documentation is accurate and up to date.
What You’ll Do
- Provide administrative support to leadership and designated team members
- Coordinate meetings, calendars, and communications using Microsoft Teams or similar tools
- Prepare, proofread, and finalize reports, correspondence, and meeting notes
- Maintain and organize digital and physical files, including confidential documents
- Conduct research to support projects, compliance, or operational needs
- Manage or assist with cross-functional projects and task coordination
- Track data, use spreadsheets for reporting, and assist with basic financial or operational documentation
- Support processes involving contracts, documentation, or vendor coordination
- Maintain a high level of professionalism and confidentiality in all interactions
What We’re Looking For
- Proven experience as an Administrative or Executive Assistant, or in a similar support role
- Strong communication and interpersonal skills across all levels of an organization
- Excellent writing and editing skills
- High attention to detail and ability to manage shifting priorities
- Proficiency in Microsoft Office Suite—especially Excel, Word, Outlook, and Teams
- Organized, self-motivated, and comfortable with both independent and team work
- Typing speed of 60+ WPM is a plus
- Experience in technical, operations, or compliance-related fields is a bonus

It is essential for employees to possess proficiency in utilizing standard office tools like computers, printers, and telephones. Furthermore, adequate manual dexterity and eyesight are necessary to effectively handle tasks involving reading, writing, interpreting, and managing paperwork with precision and efficiency. In a typical office setting, the employee will communicate and engage with minimal exposure to excessive noise or adverse environmental conditions. Although the role mainly takes place indoors, there might be occasional exposure to outdoor elements such as heat, cold and environmental elements.
