Description

Ford AV is seeking a professional, detail-oriented, and customer-focused individual to serve as the first point of contact for visitors, customers, employees, and HR-related inquiries. This front-facing role manages the front desk with efficiency, professionalism, and discretion while supporting key administrative and HR communication functions. This position is ideal for someone with administrative and/or HR experience who enjoys a highly interactive, service-oriented role.

What You’ll Do

  • Manage the front desk and reception area, ensuring a welcoming and professional environment.
  • Greet and assist visitors while following security protocols, including signing in/out guests and monitoring access.
  • Answer and direct incoming calls, including logging HR-related inquiries and ensuring timely follow-up or routing.
  • Maintain accurate logs and records, including visitor sign-ins, HR inquiries, and employee anniversaries.
  • Support compliance documentation and help track required postings or communications.
  • Assist with proctored applicant testing by welcoming candidates, explaining the testing process, providing support as needed, and guiding them to their interview location upon completion.
  • Process and distribute incoming and outgoing mail, sign for deliveries, and notify recipients.
  • Perform administrative support tasks such as editing documents, maintaining postage equipment, and organizing office supplies.
  • Provide clerical and administrative support to HR, Accounting, and Sales teams as needed.
  • Assist with additional office duties to support daily operations.

What We’re Looking For

  • Previous administrative and/or HR experience strongly preferred.
  • Strong verbal and written communication skills with a professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); ability to quickly learn new systems.
  • Typing speed of at least 50 WPM preferred.
  • Strong organizational skills and the ability to manage and prioritize competing tasks.
  • Experience handling confidential information with professionalism and accuracy.
  • Dependable, punctual, and committed to maintaining excellent attendance.

While the work primarily involves sedentary tasks, there may be occasions that call for standing, walking, reaching, talking, hearing, and move objects weighing up to 20 pounds. It is essential for employees to possess proficiency in utilizing standard office tools like computers, printers, and telephones. Furthermore, adequate manual dexterity and eyesight are necessary to effectively handle tasks involving reading, writing, interpreting, and managing paperwork with precision and efficiency. In a typical office setting, the employee will communicate and engage with minimal exposure to excessive noise or adverse environmental conditions. Although the role mainly takes place indoors, there might be occasional exposure to outdoor elements such as heat, cold and environmental elements.
