Executive Assistant or Coordinator, Business and Legal Affairs

An entertainment law firm focusing on non-scripted/reality television programing is adding  an executive assistant or coordinator to its team. 

Title: Executive Assistant or Coordinator, Business & Legal Affairs, depending on experience 

Office: This is a fully remote position though may involve certain in-person days and/or in-person meetings.

Location: You must reside in and work from Chicago, Illinois or Los Angeles, California and work Pacific Standard Time hours.

Job Duties:


(1)  Drafting and revising various agreements related to the development, production, and distribution of non-scripted/reality programming.

(2) Executive and personal assistant to firm’s managing partner with responsibilities to include, but not be limited to:

(a) scheduling calls, meetings, and travel;

(b) preparing client invoices and preparing client updates with respect to billing;

(c) updating and maintaining firm’s website and social media accounts;

(d) maintaining and updating client files, status reports, and online project status tracking software; 

(e) coordinating documents for signature; and

(f) handling other administrative responsibilities as assigned. 

(3) Contributing to firm’s client development efforts including, but not limited to, identifying potential new clients for the firm. 

(4) Contributing to the business development and operation of new business ventures.


Qualifications

(1) Undergraduate degree

(2) Interest in working on the business and legal side of non-scripted/reality television programming

(3) Highly motivated self-starter with great communication skills, ambition, and attention to detail.

(4) Proactive with great organizational skills.

(5) Ability to build and maintain relationships with other members of the team, clients, agents, managers, and other outside counsel and their assistants.

(6) Ability to maintain strict confidentiality with respect to client and firm matters. 

(7) Ability to work well under pressure in a high volume, fast paced environment and within client and/or production deadlines.

(8) Entrepreneurial spirit with eagerness and willingness to learn and to contribute as and where needed to various day-to-day matters and business initiatives. 

(9) Previous experience as an executive assistant in the entertainment business preferred but not required. 

(10) Proficient in MS Office (Word, Outlook, PowerPoint, and Excel)
