Data and Operations Intern

Data and Operations Intern – Ohlone College Tri-Cities Career Center 

Location: Newark, CA (Hybrid – 1 remote day optional) 
Department: Career Center 
Reports to: Career Center Leadership 

Position Summary: 

The Data and Operations Intern will support the Career Center team with CalJOBS data entry, operations, digital marketing, event coordination, website updates, and Handshake support. This position is ideal for students interested in workforce development, data systems, marketing, and student-facing services. The intern will gain hands-on experience in a fast-paced, collaborative setting while assisting with a wide range of impactful tasks that strengthen the reach and efficiency of the Career Center. Other duties may be assigned that relates to the role. 

Key Responsibilities: 

CalJOBS & Data Management: 

Accurately enter participant data, service codes, and case notes into CalJOBS, the state workforce case management system. 

Assist with verifying, organizing, and reporting data for internal tracking and overall compliance. 

Help assist in maintaining detailed digital logs to support data accuracy and consistency. 

Operations & Organization: 

Use tools like Trello, Monday.com, and Excel to support team project management and task coordination. 

Organize shared files and folders on SharePoint to ensure clarity and accessibility. 

Provide support for scheduling, appointment tracking, and administrative workflows. 

Support day-to-day tasks and assist with any and all assignments as directed by Career Center supervisor. 

Marketing & Outreach: 

Design flyers, graphics, and videos using Canva and CapCut for both digital and print. 

Capture photos/videos at events for use in social media, newsletters, and internal reporting. 

Collaborate with fellow interns to develop engaging content and outreach campaigns. 

Curate Newsletters and other marketing materials 

Career Center Events: 

Assist in planning, organizing, and executing events such as career fairs, employer panels, workshops, and student mixers. 

Help with setup, check-in, support during events, and post-event wrap-up. 

Website & Handshake Support: 

Assist with updating the Career Center website, ensuring accurate program information, event updates, and digital resources. 

Support Handshake, Ohlone’s job and internship platform: 

Approve student and employer accounts. 

Respond to student inquiries and troubleshoot basic technical issues. 

Help maintain active job and event postings. 

Learning Outcomes: 

Develop technical skills in CalJOBS, CRM tools, Handshake, and content management systems. 

Gain insight into community college career services, employer relations, and workforce development programs. 

Strengthen time management, attention to detail, project coordination, and public-facing communication. 

Learn how to manage responsibilities across multiple digital platforms with professionalism and accuracy. 

 

Qualifications: 

Must be currently enrolled in a four-year university and on track to graduate as a junior or senior (or be a recent graduate within the past 6 months). 

Exceptional attention to detail and the ability to follow through on tasks accurately and thoroughly. 

Willingness to learn new platforms including CalJOBS, Handshake, SharePoint, CapCut, Trello, and content management systems (for website editing). 

Strong written and verbal communication skills; professional, proactive, and adaptable. 

Interest in education, workforce programs, student support, marketing, or public service. 

Ability to handle confidential information and sensitive data with care. 

 

Hours & Compensation: 

$20/hour 

Up to 20 hours/week 

Term: Through December 2025, with a possibility of extension based on performance and funding 

Schedule: One remote work day per week available with supervisor approval
