Job Statement: The Operations Assistant supports the Operations Department in maintaining efficient financial, HR, and office workflows. This position involves a combination of administrative, accounting, and personnel-related tasks delivered with a high level of accuracy and customer service. The Operations Assistant reports to the Director of Finance and Operations and collaborates with a second Operations Assistant.

Demonstrates positive energy and enthusiasm while embracing the mission of Child Care Network Provides quality customer service to all CCN constituents, staff, and board members when answering phones or greeting office visitors Supports accounting and administrative tasks, including data entry, accounts payable, bank and credit card reconciliations, and employee reimbursements Processes timecards, assists with payroll, and maintains accurate employee and vendor records, including addresses, W-9s, and direct deposit information Assists with HR functions such as benefits enrollment, time-off tracking, recruitment, applicant screening, interview scheduling, onboarding, offboarding, and training documentation Maintains office operations by ordering and refilling supplies, sorting mail, scanning, and filing Collaborates with the second Operations Assistant to cross-train and coordinate responsibilities Supports audit preparation for both independent financial audit and funder-specific audits Generates donor letters and prepares 1099s Attends Finance Committee meetings and records minutes Maintains confidentiality of all sensitive agency, staff, and client information Participates in monthly staff meetings, annual staff retreats, and completes 16 hours of professional development annually Performs other duties as assigned

An associate’s degree or 2 years’ work experience in Business Administration, Accounting, Bookkeeping, Human Resources, Operations, Nonprofit Management, or a related field Demonstrated integrity and high ethical standards with the ability to maintain professional boundaries Working knowledge of basic accounting principles, including accrual-based accounting, double entry systems, revenue recognition, and internal controls; familiarity with grant expense tracking is a plus Ability to accurately compile facts/figures, identify and investigate issues, and resolve basic matters Demonstrates attention to detail, strong organizational skills, multitasking abilities, efficient time management, and a willingness to learn Ability to work independently in a self-directed manner Ability to follow an appropriate course of action based on policies and procedures Ability to communicate effectively, both orally and in writing Ability to work collaboratively in teams with a strong customer service orientation Proficient in Microsoft Office (Word, Excel, Teams, Outlook, Power Point) with the ability to create spreadsheets and use formulas; comfortable operating office technology including computers, calculators, phones, and standard office equipment Familiarity with ADP Run, bill.com, Sage Intacct, Tax Bandit, Little Green Light, and/or Adobe Acrobat is a plus Ability to sit and perform detailed and/or repetitive work for extended periods in a shared office environment Valid driver’s license and reliable transportation
